1. INTRODUCTION

Legacy Events Ventures (Pty) Ltd is the operator of the Matchplay Golf SA tournament and its associated digital platforms. We are committed to protecting the personal information of all individuals who interact with our platforms in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA).

By registering on our platforms, you acknowledge that you have read and understood this Privacy Policy and consent to the processing of your personal information as described herein.

2. WHAT PERSONAL INFORMATION WE COLLECT

When you register, we collect: full name, email address, South African mobile number, South African ID number, HNA handicap registration number, current handicap index, city/town of residence and postal code, partner name and mobile number, and payment information.

Through use of the platform we also collect: match scores and results, team assignment and division placement, device push notification tokens, and login session data.

ID numbers are collected solely to verify player eligibility and are not shared with third parties except where required by law.

3. HOW WE USE YOUR PERSONAL INFORMATION

We use your information to:

- Verify your eligibility to participate.

- Register and manage your player account.

- Assign you to a team, division and bracket.

- Geo-plot your location by postal code for division assignment.

- Generate and manage your match schedule and results.

- Process and verify entry fee payments.

- Send you tournament-related communications.

- Resolve disputes relating to match results.

- Compile tournament statistics and standings.

- Comply with applicable legal obligations.

4. HOW WE SHARE YOUR PERSONAL INFORMATION

Your personal information is accessible to authorised tournament administrators only.

Other participants can see: your team name, match results and standings. Your email address, ID number, mobile number and payment details are never visible to other participants.

With your explicit consent, we may share your name, email and contact number with named tournament sponsors for tournament-related communications only. You can opt out at any time by emailing admin@matchplaysa.co.za.

We do not sell, rent or trade your personal information to any third party.

5. SERVICE PROVIDERS

We use the following third-party service providers:

- Supabase Inc. — Cloud database and authentication.

- Vercel Inc. — Web portal hosting.

- Peach Payments (Payfast) — Secure payment processing.

- GolfRSA / HNA — Handicap verification.

- SMSflow — SMS communication services.

All providers are contractually required to process information only on our instructions and in accordance with applicable law.

6. HOW WE PROTECT YOUR INFORMATION

We have implemented the following security measures:

- Encrypted data transmission using HTTPS/TLS protocols.

- Supabase Row Level Security (RLS) policies.

- Password hashing — passwords are never stored in plain text.

- Access controls — administrative access restricted to authorised personnel only.

In the event of a data breach, we will notify you and the Information Regulator as required by POPIA.

7. RETENTION OF PERSONAL INFORMATION

- Player registration data: retained for 3 years after the tournament season.

- ID numbers: retained only for the duration of eligibility verification.

- Payment records: retained for a minimum of 5 years.

- Match scores and results: retained indefinitely as part of the historical record.

8. YOUR RIGHTS UNDER POPIA

You have the following rights:

- Right to Access: Request what personal information we hold about you.

- Right to Correction: Request correction of inaccurate information.

- Right to Deletion: Request deletion where information is no longer necessary.

- Right to Object: Object to the processing of your personal information.

- Right to Withdraw Consent: Withdraw consent at any time.

- Right to Lodge a Complaint with the Information Regulator.

9. MINORS

The tournament is open exclusively to individuals over the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided information to us, please contact admin@matchplaysa.co.za immediately.
